Ownership and monitoring of operations mailbox
Onboarding, offboarding of FTEs/ Associates
Weekly chasing of T&E submissions
Monthly Time & Expenses Summary reports prepared for clients and agencies
Technology Platforms
MS Office 365 admin
Records Management – document retention, ownership and management of SkyKick Backup system
Security – Identity Management (Azure AD), Risky Users & Logins tracking, authentication, mobile device management
User Management – onboarding, offboarding and maintenance of records
Groups & Shared Mailboxes – creation, removal and management
Licence Management – tracking, allocation & purchasing
MS Teams (and SharePoint) – ownership of Team sites and channels (inc. setup, maintenance and structure), guidelines and best practices, permissions and access management
Exchange and Outlook – maintenance of Exchange user properties
System updates and releases – understand impacts, prepare and test changes/ new features, own communication to end-users
Ad-hoc issue resolution
Kimble (Salesforce PSA) admin
User and Resource Management – Onboarding, offboarding and maintenance of records, tracking of end dates
User Licence Management – Tracking, allocation & purchasing
Time & Expenses – tracking, enforcement of deadlines and rules, chasing and reporting
Delivery Management – maintenance of delivery engagements, activity
Reports – creation based on proactive understanding of end-user requirements, maintenance, enhancement and dissemination to appropriate stakeholders
System updates and releases – understand impacts, prepare and test changes/ new features, own communication to end-users
Ad-hoc issue resolution
GDPR Data Protection Manager – act as lead and SME for GDPR issues and management

Who we're looking for
Ultimately, we are looking for self-starters, with ideas they are determined to bring to life. While specific experience can be developed, energy and enthusiasm is non-negotiable. You will have:
Previous back-end Microsoft Office 365 administration experience (Excel, Word, PowerPoint, SharePoint etc.), ideally 1-2 years
A passion for technology and an ability to learn new technology quickly
High attention to detail, able to spot mistakes
A methodical and logical way of working, able to consistently delivery routine, repetitive tasks to a high level of quality
High levels of organisation and flexibility, able to plan and prioritise/reprioritise especially with requirements that may change daily
